This Privacy Policy explains what personal data WeeMeet collects when you use the WeeMeet mobile app and the website at weemeet.app (together, the "Service"), why we collect it, who we share it with, and the choices and rights you have.

1. Who We Are

The Service is operated by AeroCapture, Elisabethlaan 4 box 605, 2600 Antwerpen, Belgium, company number BE1017361140 ("WeeMeet," "we," "us," or "our"). We are the controller of the personal data described in this policy. You can reach us at hello@weemeet.app.

2. Information We Collect

Account information. When you create an account, we collect your name, email address and, if you add one, a profile photo. You can sign in with Google, Apple, Microsoft (Outlook) or your email address; when you do, we receive your name, email address and an account identifier from that provider.

Calendar information (only if you connect a calendar). WeeMeet finds times that work for a group by checking when each person is busy. When you connect a Google, Outlook or Apple iCloud calendar, we:

  • read your calendar to work out when you are busy. For Google Calendar we ask for read access, but only use it to look up free/busy times. For Outlook and iCloud we read your events to calculate busy times;
  • store only the start and end times of busy periods, not the titles, descriptions, locations or attendees of your events;
  • when you organize an event and your group picks a time, create the event in your calendar and invite the other participants by email through Google or Outlook, so they can accept or decline it. If your group adds activities to the plan, we update that event's location and description;
  • store the access credentials needed to keep your calendar connected (for Google and Outlook access and refresh tokens; for iCloud the app-specific password you enter). These are stored encrypted.

You can disconnect a calendar at any time in the app, or revoke WeeMeet's access in your Google, Microsoft or Apple account settings.

Events and availability. When you create or join an event, we collect its title, description, date range and preferences, who is invited and who takes part, the times you mark as unavailable, and the time that is finally chosen. If the organizer sets a city for the event, we store that city's name and its general map position. We also store the activity ideas people suggest for an event, the votes on them, and the activities added to the event's plan, together with who added them.

Your location (only if you choose to use it). In Find Activities you can tap "Use my current location" to see things to do nearby. Only then does the app ask for location permission. It reads an approximate position (not a precise one) at that moment, never in the background, and sends it to our servers with that search. We use it only to look up activities around you and do not store it with your account; it can appear in our technical logs, which we keep for up to 30 days. If you don't share your location, the app uses the event's city or a city you pick.

Find Activities. When you look for things to do, we record the search (category, area name and distance, never your exact position) and which activities you open, share, suggest or add to the plan, so we can count how the feature is used. Activity listings come from UiTinVlaanderen, the events database of publiq vzw. To get them, our servers send publiq the search area, dates and category, but not who you are. If you open a ticket or organizer link, that website's own privacy policy applies.

Friends and contacts. WeeMeet does not upload your address book. If you choose a person from your phone's contacts to add as a friend or to invite, we store the details of that contact only (name, and email address or phone number if the contact has one) so you can invite them later. We also keep your friends list and the invitations you send and receive.

Information about you from other users. If a WeeMeet user adds you as a friend or invites you to an event, we receive your name and email address or phone number from them. We use it only to deliver their invitation and show you in their friends list, based on our legitimate interest in letting people invite the friends they choose. You can ask us to delete it at any time.

Referrals. When you join WeeMeet through someone's event, we remember who invited you, so that both of you can receive the free Premium reward when you plan your own first event.

Guests. Someone who joins an event from a link without the app gives us their name and, optionally, their email address, and the times that don't work for them.

Premium subscription. If you subscribe to WeeMeet Premium, payment is handled by Apple (App Store) or Google (Google Play). We never receive your card or bank details. Through RevenueCat, our subscription service provider, we receive the status of your subscription: whether it is active, trial or cancelled, the product, the price paid, and the renewal or expiry date.

Device and technical information. We collect a push notification token so we can send you reminders and event updates, basic device information (such as operating system), and technical logs (such as IP address, the address requested and request times) that our servers create when the app connects to them.

Usage analytics. To understand how WeeMeet is used and improve it, our servers record key actions, such as an invite being opened, an account created, a calendar connected, an event created or scheduled, Find Activities used, the free plan limit reached and a subscription started or ended. We send these events to PostHog, our analytics provider, hosted in the EU. They are linked to your account number, not to your name or email address. For people who open an invite page in a browser without an account, we use an anonymous code that changes every day and is calculated from the IP address and browser type; we don't send or store the IP address itself for this. There is no analytics or advertising code in the app, and we don't use cookies for this.

Support. If you email us, we keep your message and our reply.

3. How We Use Your Information

We use your information to:

  • create and run your account, and sign you in;
  • let you create events, invite people and suggest times that work for the group, including times "most people can make" and the availability heatmap;
  • show things to do around your event, let your group suggest and vote on ideas, and keep track of the event's plan;
  • add scheduled events to the organizer's calendar, send calendar invitations to participants, and send you reminders and updates about events you take part in, including new ideas, the plan, and suggestions of what's on near an upcoming event;
  • provide Premium features, manage your subscription and apply the free plan limit;
  • give free Premium rewards for referrals and promotions;
  • understand how WeeMeet is used, so we can fix problems and decide what to improve;
  • keep the Service secure, prevent abuse and fix problems;
  • answer your questions and support requests.

We do not sell your personal data, and we do not use it for advertising.

Legal bases (EU/EEA and UK users). We process your data because it is necessary to provide the Service you asked for under our Terms (account, events, calendar matching, Find Activities, subscriptions); because of our legitimate interest in keeping the Service secure and working well and in understanding how it is used (logs, abuse prevention, usage analytics); and to deliver invitations from other users (see above). You can object to usage analytics at any time by emailing us. Connecting a calendar is part of the Service you choose to use, so we process calendar data to provide it; you can disconnect at any time. The permission prompts on your phone (contacts, photos, camera, location, notifications) are controls you keep over your device.

4. Who Can See Your Information

  • People in your events. Other participants see your name, profile photo, whether you have joined, and which proposed times work for you. They can see who can or can't make a given time; they never see your calendar events or their details. They also see the event's city, the ideas you suggest, your votes and the activities you add to the plan.
  • Calendar invitations. When an event is scheduled, the calendar invitation from the organizer's Google or Outlook calendar lists the participants, so people in the event can see each other's email addresses there.
  • Friends. People you add as friends can see your name and profile photo when inviting you.

5. Service Providers We Share Data With

We use the following providers to run WeeMeet. They process data on our behalf, under contract, and only to provide their service to us:

  • Railway: hosting of our servers and database;
  • Google Firebase: sign-in support and push notifications;
  • Cloudflare: our website, domain and network security;
  • RevenueCat: management of Premium subscriptions;
  • PostHog (EU hosting): usage analytics;
  • Apple and Google: app store payments and subscriptions.

To show activities, we send search areas, dates and categories to UiTinVlaanderen (publiq vzw, Belgium), without any information about who you are. When you sign in with or connect Google, Microsoft or Apple, data is exchanged with that company at your request, under its own privacy policy. We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger, acquisition or sale of our business, in which case this policy continues to apply to your data.

6. Google User Data

WeeMeet's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. With your permission, WeeMeet requests read access to your Google Calendar (calendar.readonly), which we use only to look up when you are busy, and permission to create and update events (calendar.events) for events your group schedules, including inviting the other participants and adding the group's plan. We use this data only to provide those scheduling features. We do not use Google user data for advertising, we do not sell it, we do not send it to our analytics provider, we do not allow humans to read it except with your consent, for security purposes or where the law requires it, and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.

7. International Transfers

Some of our providers process data outside the European Economic Area, including in the United States. Where they do, the transfer is protected by the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework. Our analytics data is stored in the EU.

8. How Long We Keep Your Data

We keep your data for as long as you have an account. Busy times are refreshed every time your calendar syncs. Technical logs are kept for up to 30 days for security and troubleshooting. Usage analytics events are kept for up to 12 months.

When you delete your account (Profile, Delete Account), we revoke WeeMeet's access to your calendars and erase the stored calendar credentials, your busy times, profile photo, push tokens, email address and sign-in details, and close your account. Your name, the responses you gave, and the ideas, votes and activities you added may remain visible to other participants in events you took part in, so their plans stay intact. Usage analytics events stay linked only to an account number that no longer leads to you. If you want any of this removed too, email us and we will do so within one month. Any copies in backups are overwritten within 30 days.

9. Your Rights

If you are in the EU/EEA or the UK, you have the right to access your data, correct it, delete it, receive it in a portable format, restrict or object to its processing, and withdraw consent at any time. To use these rights, email hello@weemeet.app; we respond within one month. You also have the right to lodge a complaint with a data protection authority. In Belgium this is the Data Protection Authority.

10. Children

WeeMeet is not meant for children under 13, or under the minimum age for digital consent in their country. We do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.

11. Security

Data travels over encrypted connections (HTTPS), and calendar credentials are stored encrypted. Access to our systems is limited to the people who need it to run the Service. No system is completely secure, but we work to protect your data and will inform you and the authorities of a breach where the law requires.

12. Changes to This Policy

We may update this policy as WeeMeet changes. We will update the date at the top and tell you in the app about important changes.
