Privacy Policy

This Privacy Policy explains what personal data WeeMeet collects when you use the WeeMeet mobile app and the website at weemeet.app (together, the "Service"), why we collect it, who we share it with, and the choices and rights you have.
1. Who We Are
The Service is operated by AeroCapture, Elisabethlaan 4 box 605, 2600 Antwerpen, Belgium, company number BE1017361140 ("WeeMeet," "we," "us," or "our"). We are the controller of the personal data described in this policy. You can reach us at hello@weemeet.app.
2. Information We Collect
Account information. When you create an account, we collect your name, email address and, if you add one, a profile photo. You can sign in with Google, Apple, Microsoft (Outlook) or your email address; when you do, we receive your name, email address and an account identifier from that provider.
Calendar information (only if you connect a calendar). WeeMeet finds times that work for a group by checking when each person is busy. When you connect a Google, Outlook or Apple iCloud calendar, we:
- read your calendar to work out when you are busy. For Google Calendar we ask for read access, but only use it to look up free/busy times. For Outlook and iCloud we read your events to calculate busy times;
- store only the start and end times of busy periods, not the titles, descriptions, locations or attendees of your events;
- add a meeting to your calendar once your group has picked a time;
- store the access credentials needed to keep your calendar connected (for Google and Outlook access and refresh tokens; for iCloud the app-specific password you enter). These are stored encrypted.
You can disconnect a calendar at any time in the app, or revoke WeeMeet's access in your Google, Microsoft or Apple account settings.
Events and availability. When you create or join an event, we collect its title, description, date range and preferences, who is invited and who takes part, the times you mark as unavailable, and the time that is finally chosen.
Friends and contacts. WeeMeet does not upload your address book. If you choose a person from your phone's contacts to add as a friend or to invite, we store the details of that contact only (name, and email address or phone number if the contact has one) so you can invite them later. We also keep your friends list and the invitations you send and receive.
Information about you from other users. If a WeeMeet user adds you as a friend or invites you to an event, we receive your name and email address or phone number from them. We use it only to deliver their invitation and show you in their friends list, based on our legitimate interest in letting people invite the friends they choose. You can ask us to delete it at any time.
Guests. Someone who joins an event from a link without the app gives us their name and, optionally, their email address, and the times that don't work for them.
Premium subscription. If you subscribe to WeeMeet Premium, payment is handled by Apple (App Store) or Google (Google Play). We never receive your card or bank details. Through RevenueCat, our subscription service provider, we receive the status of your subscription: whether it is active, trial or cancelled, the product, and the renewal or expiry date.
Device and usage information. We collect a push notification token so we can send you reminders and event updates, basic device information (such as operating system), the number of times you open partner booking links, and technical logs (such as IP address and request times) that our servers create when the app connects to them. We do not use advertising or analytics trackers in the app.
Support. If you email us, we keep your message and our reply.
3. How We Use Your Information
We use your information to:
- create and run your account, and sign you in;
- let you create events, invite people and suggest times that work for the group, including times "most people can make" and the availability heatmap;
- add scheduled events to your calendar and send you reminders and updates about events you take part in;
- provide Premium features and manage your subscription;
- keep the Service secure, prevent abuse and fix problems;
- answer your questions and support requests.
We do not sell your personal data, and we do not use it for advertising.
Legal bases (EU/EEA and UK users). We process your data because it is necessary to provide the Service you asked for under our Terms (account, events, calendar matching, subscriptions); because of our legitimate interest in keeping the Service secure and working well (logs, abuse prevention, limited usage counts); and to deliver invitations from other users (see above). Connecting a calendar is part of the Service you choose to use, so we process calendar data to provide it; you can disconnect at any time. The permission prompts on your phone (contacts, photos, notifications) are controls you keep over your device.
4. Who Can See Your Information
- People in your events. Other participants see your name, profile photo, whether you have joined, and which proposed times work for you. They can see who can or can't make a given time; they never see your calendar events or their details.
- Friends. People you add as friends can see your name and profile photo when inviting you.
5. Service Providers We Share Data With
We use the following providers to run WeeMeet. They process data on our behalf, under contract, and only to provide their service to us:
- Railway: hosting of our servers and database;
- Google Firebase: sign-in support and push notifications;
- Cloudflare: our website, domain and network security;
- RevenueCat: management of Premium subscriptions;
- Apple and Google: app store payments and subscriptions.
When you sign in with or connect Google, Microsoft or Apple, data is exchanged with that company at your request, under its own privacy policy. We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger, acquisition or sale of our business, in which case this policy continues to apply to your data.
6. Google User Data
WeeMeet's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. With your permission, WeeMeet requests read access to your Google Calendar (calendar.readonly), which we use only to look up when you are busy, and permission to create events (calendar.events) for meetings your group schedules. We use this data only to provide those scheduling features. We do not use Google user data for advertising, we do not sell it, we do not allow humans to read it except with your consent, for security purposes or where the law requires it, and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.
7. International Transfers
Some of our providers process data outside the European Economic Area, including in the United States. Where they do, the transfer is protected by the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework.
8. How Long We Keep Your Data
We keep your data for as long as you have an account. Busy times are refreshed every time your calendar syncs. Technical logs are kept for up to 30 days for security and troubleshooting.
When you delete your account (Profile, Delete Account), we revoke WeeMeet's access to your calendars and erase the stored calendar credentials, your busy times, profile photo, push tokens, email address and sign-in details, and close your account. Your name and the responses you gave may remain visible to other participants in events you took part in, so their plans stay intact. If you want these removed too, email us and we will do so within one month. Any copies in backups are overwritten within 30 days.
9. Your Rights
If you are in the EU/EEA or the UK, you have the right to access your data, correct it, delete it, receive it in a portable format, restrict or object to its processing, and withdraw consent at any time. To use these rights, email hello@weemeet.app; we respond within one month. You also have the right to lodge a complaint with a data protection authority. In Belgium this is the Data Protection Authority.
10. Children
WeeMeet is not meant for children under 13, or under the minimum age for digital consent in their country. We do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.
11. Security
Data travels over encrypted connections (HTTPS), and calendar credentials are stored encrypted. Access to our systems is limited to the people who need it to run the Service. No system is completely secure, but we work to protect your data and will inform you and the authorities of a breach where the law requires.
12. Changes to This Policy
We may update this policy as WeeMeet changes. We will update the date at the top and tell you in the app about important changes.
